1. Who we are
This website, simplinet.co.uk, is operated by Simplinet Limited (“Simplinet”, “we”, “us”, “our”), a company registered in England and Wales under company number 16900875, based in Milton Keynes, UK and working UK-wide.

2. What this policy covers
This policy explains what personal data we collect, why we collect it, how we use and protect it, who we share it with, and the rights you have over it. It applies to visitors to our website and to people and businesses who enquire about or use our services.
3. The information we collect
Information you give us. When you contact us through our website form, by email, or by phone, we collect details such as your name, company name, email address, telephone number, and any information you choose to share about your site or project (for example, the type of premises, location, and what you need).
Information collected automatically. Our website is a static site and does not run advertising or analytics tracking by default. Our hosting provider may process limited technical information (such as IP address and basic request logs) to deliver the site securely and reliably.
We do not intentionally collect special category data (such as health, ethnicity or political opinions), and we ask that you don't send it to us.
4. How we use your information
- respond to your enquiry and provide quotes;
- survey, design, install and support network infrastructure where you engage us;
- manage and deliver projects, including coordinating with you and any partners involved;
- provide ongoing and break-fix support;
- meet our legal, accounting and record-keeping obligations;
- maintain the security of and improve our website and services.
5. Our legal bases for using your data
- Contract — to provide the services you've asked us to deliver, or to take steps before entering a contract (for example, preparing a quote).
- Legitimate interests — to respond to enquiries, run and improve our business and website, and keep our systems secure, in a way that doesn't override your rights.
- Consent — for any optional marketing. You can withdraw consent at any time.
- Legal obligation — where we must keep or disclose information to comply with the law.
6. Who we share your information with
We do not sell your personal data. We share it only where necessary, with:
- Service providers (processors) who process data on our instructions and under appropriate agreements, namely: Netlify (website hosting and our contact-form handler), Microsoft 365 (our email), and IONOS (our domain and DNS). We do not run advertising or analytics services on this site;
- Project partners where they are genuinely needed to deliver your project, and only to the extent required;
- Authorities or advisers where we are legally required to disclose information, or to establish, exercise or defend legal claims.
7. Cookies and analytics
This website does not use cookies for advertising or analytics, and does not set tracking cookies. We do not use Google Analytics or any similar tracking tool, and our fonts are served from our own site rather than a third party. Because we use no non-essential cookies, we do not display a cookie consent banner. If we add analytics or other non-essential cookies in future, we will update this policy and ask for your consent where required.
8. International transfers
Some of our service providers are based outside the United Kingdom. In particular, our website host and contact-form handler, Netlify, is based in the United States, so personal data you submit through the website may be processed there. Where data is transferred outside the UK, it is protected by appropriate safeguards — such as UK-approved Standard Contractual Clauses (with the UK Addendum) and the providers' data processing agreements. Our email provider, Microsoft 365, processes data in line with Microsoft's data protection terms and EU/UK data-residency commitments.
9. How long we keep your data
We keep personal data only for as long as we need it for the purposes set out above. Our standard retention periods are:
- Website enquiries that don't become a project — up to 24 months from your last contact, then deleted.
- Client and project records (correspondence, surveys, designs, sign-off documentation) — for the duration of our relationship and then up to 6 years, to handle support, warranties and any legal claims (the limitation period for contracts under the Limitation Act 1980).
- Invoices and accounting records — 6 years after the end of the financial year they relate to, as required by HMRC and company law.
- Marketing preferences — until you withdraw consent or ask us to stop, after which we keep a minimal suppression record so we don't contact you again.
When data reaches the end of its retention period we securely delete or anonymise it. We may keep information for longer where the law requires it, or where it is needed to establish, exercise or defend legal claims.
10. Your rights
- access the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data in certain circumstances;
- ask us to restrict or object to our processing;
- request your data in a portable format;
- withdraw consent where we rely on it.
To exercise any of these rights, email contact@simplinet.co.uk. We'll respond within the timeframes required by law. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk, though we'd appreciate the chance to put things right first.
11. How we protect your data
We use appropriate technical and organisational measures to keep personal data secure and to protect it against unauthorised access, loss or misuse. No method of transmission over the internet is completely secure, but we take reasonable steps to safeguard your information.
12. Other websites
Our website may link to other websites. We are not responsible for the privacy practices or content of those sites, and we encourage you to read their own privacy policies.
13. Children
Our website and services are intended for businesses and are not directed at children. We do not knowingly collect personal data from children.
14. Changes to this policy
We may update this policy from time to time. The “last updated” date at the top shows when it was last revised. Significant changes will be reflected on this page.
